Discovery Assistant QuickReview

Quick Review is a simple to use self installing Review Tool for reviewing processed e-Discovery documents..

When an EDD service provider sends converted electronic documents to their client, the client needs a simple way to review this data.

Corporate clients don't always have sophisticated case management review tools at their fingertips, nor do they have much knowledge with regard to how to use them.

What clients need is a simple tool that allows them to review and search the TIFF files, extracted Metadata, and Text.

The data disk containing the images and text, also contains the QuickReview software. The review application comes up automatically when the disk is inserted into the drive.

How it Works:

  1. The EDD Service provider converts email and electronic documents to TIFF, Metadata, and extracted text. The data is exported in the form of a load file (Concordance, Summation, Introspect, RingTail, or CSV), and saved to a removable hard drive, DVD or CD for distribution to the client.

  2. The Service provider runs the QuickReview tool on the EDD data to produce a set of HTML based review files. Output files include a master HTML file, individual HTML files containing formatted MetaData (one for each document record), and up to 10 TIFF thumbnail images.

    Users can review the data one document at a time. Hot links are included to source documents, the resultant TIFF file, and any extracted Metadata.

  3. The client can review the contents of the EDD data using an HTML browser, or our custom developed application (that manages viewing the HTML data), or use the text search tool. The client can review individual document records that in turn link to the produced TIFF, extracted Metadata, extracted Text, and the original source document.

  4. The client can download and install a third party text search tool to review the documents. (Recommendation is Likasoft Archivarius 3000 - http://www.likasoft.com/document-search/index.shtml 30 day free trial, $45 to purchase.)

  5. The client then provides their lawyer with a list of documents to be reviewed.

User Instructions:

  1. Double-click on the HTML file provided in the root directory of the CD Rom.

  2. You can scroll through the list of produced documents, OR follow an index link down one level to the metadata and thumbnail images.

  3. Hotlinks allow you to go to next, previous, home, end.

  4. Hotlinks allow you to open the TIFF, TXT, Metadata, and Source files.

  5. To search the data, download and install Likasoft Archivarius 3000 - http://www.likasoft.com/document-search/index.shtml. 30 day free trial, $45 to purchase.

    Create an index, and define which files are to be indexed for search (may want to limit to TXT, HTML, or MTF).

  6. After indexing is complete, the user can generate file sets that match search criteria. The names of the files targeted by the search then become the list of files that you provide to the lawyer for further review.

Instructions on how to create an export file from Discovery Assistant:

  1. Load Files to be converted into Discovery Assistant. After conversion, need to remove blanks, OCR, Bates Stamp, and assign Document ID’s.

  2. Export from Discovery Assistant to a Character Separated Text Load File. (CSV)

  3. Need to specify the following settings before export:

    • Flat directory structure.
    • Image File Type as TIFF
    • Include Text files, MetaData Files, and Source files
    • Make TIFF/TXT files multi-page

  4. Under Options for Format type, select which metadata fields are to be exported, and in what order those fields are to be extracted. Recommendation is to use: "ITEMID", "SHORTFILETITLE", "SENTDATE", "SENTTIME" as the first 4 fields, as this is what goes into the main HTML file.

  5. Run QuickReview, and open the exported TXT file. Hit 'Generate'. It will create an HTML file in the output directory, plus additional html files (one for each record) plus image thumbnails of up to 10 pages for each TIFF file.

  6. Copy the directory contents to a removable hard drive, CD-ROM or DVD for customer review.
